HOW WE WORK
Office Hours
The nature of our business, our varying company workloads, and servicing different client needs, requires that our office has consistent operating hours; however, these needs may require certain employees to work additional hours and days, and/or to maintain a different work schedule.
Office and Warehouse Hours:
7:30am - 4:00pm, Monday through Friday
Unless otherwise indicated by your supervisor, you are expected to be working at 7:30am. If you are going to be late for work or absent, notify your Supervisor within one-half hour of the start of your workday.
Upon your return to the office from an absence, please complete an absentee report and submit it to your supervisor.
If you are absent for three days without notifying the company, it is assumed that you have voluntarily abandoned your position from within the company, and you will be removed from the payroll.
Lunch Time & Breaks
A 30-minute, unpaid lunch break must be taken each day, for every 5 hours of continuous work, unless the employee is working 6 hours or less that day. Lunchtime is pretty casual around here, but most people take it sometime between 12:00pm and 1:00pm each day.
We encourage everyone to take regular short breaks from your work. Breaks are proven to help diffuse stress, increase productivity, and stimulate creativity in problem solving. A good practice is to plan for two-10 minute breaks each day, in addition to your lunch break, one in the morning and one in the afternoon.
Meetings
General Meetings
If you need to have a meeting with a client, coworker or supervisor, please use the conference room in the office. Currently, we do not host very many meetings, so we don’t have any scheduling problems. Should meetings become more frequent, we’ll put together a reservation system for the conference room.
Company Meetings
Employees from all locations come together once a month for a Coffee & Bagels Meeting. This is a time to hear a general ‘State of the Company’ update, to address any ongoing issues or upcoming changes, and for employees to ask questions. And it is also a time to enjoy some coffee, eat a bagel, and chat with your coworkers!
Monthly Coffee & Bagels Meeting
1st TUEsday of the month
10:00am - 11:00am
Capitol Drive Office
What Do People Wear
Whether working in the office or in the warehouses, our employees present a neat and professional appearance. Business-casual is the norm, but we do find that sometimes the work in the warehouse requires a more casual wardrobe depending on the job and the time of year.
Parking
Free parking facilities are available to employees. The company is not responsible for loss, damage or theft of your vehicle. Therefore, we suggest that you lock your car doors.
Be careful when driving in the parking lot. Go very slow (5 mph) behind the office and watch for pedestrians. Be especially alert for pedestrians when leaving the company property and watch for Capitol Drive traffic. Ensure that you make a complete stop before crossing the sidewalk. Check for pedestrians, skaters, scooters and bikers, then proceed carefully across the sidewalk and check for traffic. If your vision is blocked, then do not continue.
Working Together In The Office
We work together in an open floor plan office space, handling a large amount of detailed paperwork on a daily basis. Because of this, we’ve found it helpful to lay down some office ground rules.
inner-office communications
If you need to discuss something with a coworker, please don’t yell across the room. Pick up the phone, email them, or go to the person’s desk that you wish to speak with. If they are on the phone or in a conference, do not stand at their desk, but instead come back at a different time.
Do not use a coworker’s desk, phone or computer unless you have been given permission by the coworker or your supervisor.
Inbox
If you need to leave paperwork for a coworker, please put a note on it and place it in their inbox - do not simply leave it on top of their desk. If they are not at their desk at the time you leave the paperwork, please send them an email indicating that you left the paperwork in their inbox, to ensure that they see it in a timely manner and are aware of what is needed.
confidentiality
Protecting our company’s information is the responsibility of every employee and we all share a common interest in making sure it is not improperly or accidentally disclosed. Company files should not leave the offices or warehouses unless being transferred. All paperwork should be completed at the Company properties and not at outside locations.
If you see paperwork that appears to be confidential laying out in the open office, particularly if it is concerning an employee, please refrain from reading it, cover and protect it, and notify your supervisor.
Do not discuss the company’s confidential business with anyone who does not work for us.
Helping coworkers
We are a team. Please help your coworkers when you have time. When you are not busy, offer to help your co-workers. Don't wait to be asked…you never know, you may learn something new!
Customers, Clients & Public Relations
We take the relationship with our clients and customers very seriously. We’ve worked very hard to maintain longstanding associations that have provided a solid foundation from which we continue to grow. Our Company’s reputation has been built on decades of our excellent customer service and quality work.
To maintain this reputation requires the continued participation of every employee. Each employee must be sensitive to the importance of providing courteous treatment in all working relationships.
+ Customer's Bill of Rights
Our customers have the right to:
- courteous treatment by our employees.
- our employees’ full time and attention during each and every transaction.
- have his/her expectations met with quality service.
- complain when the service does not meet those expectations, and to receive prompt remedy when the service is at fault.
- expect knowledge-ability, resourcefulness and follow through in emergencies and special situations.
- the benefits of team work in the company he/she deals with, without finger pointing or run-arounds.
- care, accuracy, and attention to detail in filling his/her orders for services.
- confidentially and protections of his/her business, transactions and information.
- appreciation on the part of those with whom he/she does business - both for the business already given, and to be given.
Solicitation & Distribution
In order to avoid unnecessary annoyances and interruptions from your work, solicitation by an employee of another employee is prohibited while either person is on working time. Employee distribution of personal literature or printed materials in work areas is prohibited at all times.
Trespassing, soliciting or distribution of literature by non-employees on these premises is prohibited at all times.
Kitchen & Common Areas
Again, we work in an open floor plan, shared space, so we think it is helpful to lay down some ground rules.
Kitchen
The kitchen area is available for your use throughout the day. Please keep the following in mind:
Although general custodial care is provided by the Company, please clean up after eating in this area. Place used and rinsed dishes and utensils in the dishwasher and do not leave any items in the sinks. It should be kept clean for the next person’s use.
The refrigerator should be cleaned out, with food removed, every Friday.
Do not eat any food in the kitchen that does not belong to you unless you have the owner's permission.
Do not leave the coffee pot empty or nearly empty on a warmer. This is a safety hazard.
Common areas
Taking general care of our office is a shared responsibility. Please keep the following in mind:
Please do not hang anything on the walls or place anything on the windowsills.
If you have a window next to your desk, please make sure the windows are closed and the shades are down at the end of each day.
Do not place staples or paper clips on the copiers, or run papers with them through the fax machine or scanner.
Drinks and food are allowed at desks, but please be careful with them - employees are responsible for any equipment damage resulting from them.
Please clean your cups and glasses and place cans in the recycle bin before leaving at the end of the day.
